M365 Essentials Component

M365 Essentials brings OneDrive files, Teams chats, Outlook mail, Planner tasks, and calendar events into one Salesforce Lightning component. Use its action strip to switch between functions while working on a Salesforce page. Its Lightning Web Component name is msM365Essentials.

Configuration

General settings and access

Add M365 Essentials to a Lightning page using Adding a Custom Component. Complete CloudTools license registration and configure a Microsoft 365 connector. Users with CloudTools Admin or CloudTools Super User can open the settings gear. Users with CloudTools User can use the configured functions.

SettingDefaultPurpose
ConnectorDefault Connector.Selects the Microsoft 365 connection. Default lookup prefers the connector marked for Flow automation, then the oldest matching connector. Select the intended record explicitly when several connections exist.
User ID{UserEmail}Provides the Microsoft user context. Use an Entra user ID or user principal name, typically an email-formatted sign-in name. The default resolves the current Salesforce user’s email, which must identify the intended Microsoft account.
Action Strip ButtonsFiles, Chat, Mail, Tasks, Calendar.Move functions between Hidden Buttons and Visible Buttons to choose which views users can open. The first visible function is the initial view. An empty selection falls back to all five functions.

Use delegated authorization for operations that act as a signed-in Microsoft user, including in-card Teams chat messaging. Application authorization can support other operations when the required Microsoft application permissions are available. In the Files view, delegated access uses the signed-in user’s OneDrive; User ID does not switch that delegated drive to another account. Test the intended identity and access in each enabled view.

Hiding a function controls the interface; it does not revoke Microsoft permissions. Expand the Permissions card to review access requirements, then grant the appropriate permissions and consent for the features you use. Read access alone does not authorize sending, uploading, editing, or deleting. See Creating an Entra ID App and Integration Connectors for connection setup.

Replacement tokens and query fields

Supported text settings can use replacement tokens, such as {UserEmail} or {Record.Microsoft_User_ID__c}. Replace custom-field examples with actual field API names. Record tokens require a current Salesforce record and readable fields. Verify resolved values on the intended page; a token selects a value but does not grant Microsoft access.

Filter, Select, Expand, and Order By settings describe Microsoft API queries. Leave optional queries blank unless needed. Use syntax and properties supported by the specific operation; fields from one Microsoft service are not necessarily valid in another. Select requests properties, Expand requests related content, Filter restricts results, and Order By controls their ordering. These settings do not grant access to additional content.

Files configuration

SettingDefaultEffect
Folder (Item ID)Root.Sets the starting folder in the user’s OneDrive. Enter a Microsoft drive-item ID for a specific folder, not its name, URL, or a Salesforce ID.
Top Query100.Sets the requested item count for folder listings and searches.
Order Byname ascSorts names alphabetically. Use a supported alternative such as name desc or lastModifiedDateTime desc.
Include FoldersEnabled.Shows folders for navigation. Turning it off hides folder entries; it does not combine every subfolder’s files into the current folder.
Display Limit10.Controls items per displayed page and the list’s height. Previous and Next page through loaded items.

Top Query controls retrieval, while Display Limit controls presentation. A page count reflects loaded results, not necessarily the full library.

Chat configuration

This view displays Teams chats selected from a Chat dropdown. Use the separate Teams Channel Chat component when you need a configured team channel.

SettingDefaultEffect
Chats Count50.Sets the requested number of chats for the selector.
Chats FilterBlank.Filters the chat lookup.
Message Count25.Sets the requested message count for the selected chat.
Filter QueryBlank.Filters messages requested for the selected chat.
Chats Order By QueryBlank.Requests an ordering for chat retrieval. The component presents selector labels alphabetically.
Chats Expand QueryBlank.Requests supported related information when retrieving chats.
Display Limit5.Controls when the message area scrolls and helps determine its height. It does not discard messages beyond the limit or create pages.

Loaded messages are displayed in creation-time order. Delegated connections show a composer and message actions; other connection types provide links to work in Teams.

Mail configuration

SettingDefaultEffect
Filter QueryBlank.Restricts the messages returned from the selected mail folder.
Select QueryBlank.Requests message properties. Leave blank for the component’s standard selection unless you need a supported customization.
Expand QueryBlank.Requests supported related message data.
Order By QueryreceivedDateTime descShows recently received messages first.
Mail Count25.Sets the requested page size for mail retrieval.
Display Limit5.Controls the scrolling threshold and height of the mail card area, rather than the requested page size.
Display Mail ActionsOpen in Dialog.Chooses Open in Dialog or Show Inline for composing new mail, replies, and forwards. The current field label is spelled “Dsiplay Mail Actions” in the component.
Move Message WindowOpen in Dialog.Chooses a dialog or inline panel for selecting the destination of a moved message.

The initial folder is Inbox. Users can browse folders without editing these query settings. Attachment indicators and download controls are available when message attachment information is returned.

Calendar configuration

SettingDefaultEffect
Filter QueryBlank.Adds conditions to the date-range filter used by the calendar view.
Select QueryBlank.Requests event properties. The component retains fields required for its event display and controls.
Expand QueryBlank.Requests supported related event information.
Order By Querystart/dateTime ascRequests events in start-time order. The displayed results are also sorted by start time.
Event Count25.Sets the requested event count for the displayed date range.
Display Limit5.Controls the event area’s scrolling threshold and height.

The calendar shows a seven-day window aligned to Sunday. Its request selects events whose start falls within that window, then applies any configured filter. It is not an unrestricted list of every calendar event. Event Count can also limit the returned results.

Tasks configuration

The Tasks view uses Microsoft Planner plans, buckets, and tasks. It does not display Salesforce Tasks or a Microsoft To Do list.

SettingDefaultEffect
Groups Filter QueryBlank.Filters the Microsoft groups used to discover plans.
Groups Count25.Sets the requested group lookup size.
Plans Count50.Sets the requested plan lookup size for group-based discovery.
Show Completed TasksDisabled.Includes tasks at 100% completion when enabled. When disabled, completed tasks are filtered from the display.
Task Count25.Controls the number of tasks presented on each task page.
Tasks Display Limit5.Controls the task area’s scrolling threshold and height independently of paging.

Group and plan lookup limits can affect which plans appear in the selector. The component filters completed tasks and sorts displayed tasks by creation date, newest first.

Save and verify configuration

  • Apply: Saves your personal configuration and reloads the user context and initial visible view.
  • Apply to Default: Saves the shared fallback for the component’s object context. Existing personal configurations take precedence.
  • Reset: Restores the built-in settings across all five functions, saves them to your personal configuration, and reloads the component.

Settings are scoped by component type and Salesforce object, rather than individual records or placements. Pages without an object use the general context. Reset does not merely discard unsaved edits. See Configuring a Custom Component for the shared configuration model.

Test each enabled function with the intended Microsoft identity. Verify read operations first, then the specific send or update operations users need. A successful file listing does not prove that mail, Teams, Planner, and calendar permissions are all configured.

Usage

Getting started and switching functions

  1. Open the Salesforce page containing M365 Essentials.
  2. If Authorization Required appears, click Authorize and complete Microsoft sign-in and consent. Allow popups for Salesforce if needed.
  3. Select Files, Chat, Mail, Tasks, or Calendar from the action strip. Only functions enabled by your administrator appear.

Your Microsoft access determines the content and operations available. Salesforce-managed credentials may require authentication through Salesforce’s credential setup. Actions in this component affect Microsoft 365 directly; they are not drafts or changes confined to Salesforce.

The top-level Refresh reloads the user context, resets several view states, and returns to the initial visible function. Use each view’s own refresh control when you want to refresh that feature. Finish or copy unsaved edits before reloading.

Files: browse, search, and transfer documents

  1. Select Files and review the current folder label.
  2. Click a folder to open it, or use Go up one folder to return along the navigation trail.
  3. Use Previous and Next to page through the loaded items.
  4. Click a filename to open its Microsoft web link in a new tab, or click its Download icon to save a copy.

To search, click Search files, enter text in Search Files, and click Submit search. Search targets the drive rather than only the current folder. Use Clear search to return to folder browsing. The configuration’s folder visibility and result limits also affect search results.

To upload, open the destination folder, click Upload file, and choose one file from your computer. Wait for confirmation and the refreshed listing. Uploads target the current browsing folder, even when search results are displayed; clear search first to make the destination clear. Use a distinct filename when you intend to create a new file rather than update an existing path.

Refresh files reloads the current folder or reruns the active search. If folders are absent, your administrator may have turned off Include Folders. Files are stored in OneDrive, not as Salesforce files.

Chat: read and participate in Teams conversations

  1. Select Chat and use Retrieve chats to populate or refresh the Chat selector.
  2. Select a chat and wait for its messages to load.
  3. Scroll through the loaded messages. Use Refresh messages to check for updates.

With a delegated connection, write in the rich-text Chat message composer and click Send. To respond to a specific message, click Reply; the composer shows reply context. Use Cancel reply to return to an ordinary message. Successful sends clear the draft and refresh the conversation.

Use Like, Heart, or Laugh to submit a reaction. The current Remove reaction control removes a Like specifically. Edit opens a text editor with Save and Cancel; saving can replace rich formatting with plain text and line breaks. Delete submits deletion immediately without a further confirmation dialog. Microsoft permissions and message ownership determine whether these actions succeed.

With a nondelegated connection, use Post in Teams or Reply in Teams to open the corresponding Microsoft destination and complete the action there. This view selects existing chats; it is not a control for creating a new Teams chat or choosing a channel.

Mail: browse messages and attachments

  1. Select Mail. The folder label initially shows Inbox.
  2. Use Browse Folders to navigate the folder dialog. Open a folder to browse its children, use Select to choose it, or Use Inbox to return to Inbox.
  3. Use the previous and next mail-page arrows to retrieve another page.
  4. Expand a message with Toggle message body, or open its reading dialog from the message card.

A paperclip beside the date indicates attachments. In an expanded card, attachments appear below the body: click a download icon to download its file. In the reading dialog, click the attachment’s filename button. Use Retry attachments if loading fails. Some attachment types may not offer a download.

Use Refresh mail to reload the listing. Administrator filters and Mail Count can affect which messages appear.

Mail: compose, reply, forward, move, and delete

  1. Click New Email.
  2. Enter Subject and Recipients, with optional CC and BCC. Separate multiple recipient addresses with commas.
  3. Choose Importance and write the Body using the rich-text editor.
  4. Optionally attach up to 10 non-empty files, each no larger than 3 MB. Review the filenames and use Remove before sending if needed.
  5. Click Send and wait for confirmation, or Cancel to close the composer.

The administrator chooses whether the composer appears inline or in a dialog. Subject, recipient fields, and body support replacement tokens, such as {Record.Email} in Recipients. These values are resolved when sending; include only Salesforce information you intend to send to the recipients.

For an existing message, choose Reply, Reply All, or Forward. Write your response above the quoted original content. Replies use Outlook’s reply or reply-all operation and its original message context; changing displayed header values does not turn a reply into a new message. Forward uses the entered recipients. The attachment picker is available for New Email only.

If sending a new email fails after its Outlook draft has been created, fields can remain locked so the existing draft can be retried. Check the result before retrying; closing the composer does not necessarily remove a draft already created in Outlook.

To move a message, click Move, select Target Folder in the inline panel or dialog, and confirm with Move. Cancel closes that selector without moving the message. The message’s Delete control submits deletion immediately without an additional confirmation dialog. Verify the selected message first.

Tasks: view and update Planner work

  1. Select Tasks.
  2. Choose a Plan to view its tasks, or All Plans to use the configured user’s Planner task lookup. All Plans does not mean every task in the tenant.
  3. Use the previous and next task-page arrows to browse returned tasks.
  4. Expand a task with Toggle task details.
  5. Edit Title, Percent Complete, Priority, Start Date, Due Date, Completed, or Description as appropriate, then click Save.

Selecting Completed sets completion to 100%; clearing it resets completion to 0%. If Show Completed Tasks is off, a task can disappear from the listing after completion. Priority choices include Urgent, Important, Normal, Low, and None. Task updates affect Microsoft Planner.

To create a task:

  1. Click Create Task and enter a Title and optional Description.
  2. Select a Plan and Bucket. Changing the plan clears the bucket selection.
  3. To assign a person, enter their Microsoft sign-in email in Assign To (Email) and click Lookup User. Wait for a successful match. Changing the address requires another lookup.
  4. Review Percent Complete, Priority, and optional start and due dates and times.
  5. Click Create, or Cancel to close without creating the task.

Title, Plan, and Bucket are required. An entered assignment email must be resolved before Create is available. If the desired plan or bucket is missing, ask your administrator to check access and plan discovery settings. Use Refresh tasks to reload the task view.

Calendar: browse and edit events

  1. Select Calendar and choose a calendar from the dropdown, or use Default Calendar.
  2. Use Previous seven days, Next seven days, or the Calendar week date picker to change the displayed week.
  3. Expand an event with Toggle event details.
  4. Review or edit the fields, then click Save to submit changes.

Editable fields include Subject, Attendees, Body, Start Time, End Time, Start Time Zone, End Time Zone, Location, Show As, Is All Day, Is Online Meeting, Importance, and Sensitivity. Use comma-separated attendee addresses. Check times and time zones together before saving. Available online meeting information appears in the event details.

Microsoft decides whether changes are allowed for the event and current identity. An event control being visible does not mean you are its organizer. View Source, when available, shows diagnostic event data rather than an alternate editor.

Calendar: create, forward, cancel, or decline

Click Create Event, choose the Calendar, and enter Subject, Attendees, Body, start and end details, and the other event options described above. Click Create to submit the event, or Cancel within the creation form to close without creating it. Creating or updating an event with attendees can affect their calendars.

Use the actions on an existing event carefully:

  • Forward: Opens a panel for comma-separated recipient email addresses and an optional comment. Click Forward in that panel to submit.
  • Cancel: Submits cancellation of the event with the comment “Cancelled from Microsoft 365 Essentials.” This is different from Cancel inside an open form.
  • Decline: Submits a decline response with a response sent to the organizer.

The event-card Cancel and Decline controls submit immediately without an additional confirmation dialog. Microsoft applies the relevant organizer and attendee permissions. Use Refresh events after changes when needed.

Authorization and troubleshooting

  • A function is missing: Ask your configuration administrator whether it is included in Action Strip Buttons.
  • The wrong account or content appears: Check User ID, the selected connector, and the Microsoft account used for delegated sign-in.
  • A list is empty: Check the current folder, chat, plan, calendar week, query filters, and retrieval limits before assuming no content exists.
  • A send or update fails: Note the error and operation. Your administrator can verify the corresponding Microsoft permission, consent, and access. Multi-step operations can partially succeed; check Microsoft before repeating a failed action.
  • Authorization is required again: Use Authorize when prompted, or Reauthorize Microsoft connector to start a fresh delegated sign-in.
  • More detail is needed: Configuration administrators can open Show debug panel to inspect operation details. Mail and calendar may also expose raw-data controls. Review messages, addresses, and other diagnostic content before sharing.

See Configuring a Custom Component for shared configuration, Reauthorize, and Debug behavior. For connection setup, use Integration Connectors.
